Case Study: Ventura Unified School District

How one California district digitized volunteer hour tracking in a single afternoon.

The Challenge

Ventura USD tracked student service hours across 2 high schools using paper forms and spreadsheets. Counselors spent 5+ hours weekly reconciling records. Students submitted handwritten logs that were difficult to verify, easy to lose, and impossible to audit. At-risk students — those unlikely to meet the graduation service requirement — were identified too late, often only weeks before commencement.

The Solution

ServeSeal replaced manual tracking with supervisor-verified digital records. The district onboarded in one afternoon — importing existing student rosters via CSV. Each nonprofit partner designated a supervisor who could approve hour claims directly in the platform. Every approved hour was cryptographically sealed into an immutable ledger, creating an audit-ready record that no one could alter after the fact.

Pilot data context

The statistics above reflect demo/pilot data from the Ventura Unified ServeSeal deployment. As a pilot program, these numbers represent initial onboarding rather than a full academic year of production usage. They demonstrate the platform's capabilities and workflow rather than large-scale impact metrics.
